MS Outlook, being the most easy-to-use and user-friendly email clients is quite popular amongst the organizations and individuals. It stores its emails and other data items in PST (Personal Storage Table) file. Basically, there are two types of PST files - ANSI and Unicode. The PST files created using Outlook 2003 and earlier versions are of ANSI format while those created using Outlook 2007 and later versions are of Unicode format.

How to restore PST file data?

To recover the data items from corrupt PST file, a PST file repair tool is required. Microsoft has made available such a tool called Inbox Repair tool or SCANPST.exe, which is installed along with the MS Office package. To find its location you can go to Start- > Search and type Scanpst.exe. Now, to recover the data items from corrupt Outlook PST file, follow the steps underneath:

  2. In the Inbox repair tool window, click Browse button to locate the corrupt PST file.

  6. After the file gets repaired, ‘Repair complete’ message is displayed.

Although, this tool proves to be of help but at some instances it does not recover the data accurately. That is, sometimes the scanpst.exe tool does not report any sort of issue/error in the corrupt PST file but when it is tried to open in MS Outlook the file gets fail to open. POP – Post Office Protocol is one of the most popular email account types on internet. It’s standard protocol for receiving emails. POP3 is its last upgraded version. POP was first introduced in 1984 allowing email access on a remote server. Its last version POP3 was released in 1988.

In simple words, you check your mailbox using any email client (MS Outlook, Outlook Express, Outlook for Mac, GroupWise, Eudora, Gmail, Yahoo mail etc.) on internet server. Any email you receive is first received by the internet server. And when you download an email to read, you do it through POP or IMAP (Internet Message Access Protocol) account. While configuring, you need to specify the type of email server that your email client uses. It’s either POP or IMAP. IMAP is mostly used by web-based email client such as Gmail, Hotmail, Yahoo mail etc. as it allows you to manage your mailbox data online. It’s a little more complex than POP.

POP is still widely preferred. You need to ask your internet service provider whether your email client uses POP or IMAP server or you can check it by yourself. You’ll need to enter correct POP server address while configuring your email client. POP server address usually looks like ‘pop.servername.com’. Configure MS Outlook POP3 Account

You need to perform certain steps to configure your MS Outlook POP3 account correctly. Here are the steps to configure POP3 account in MS Outlook 2013. Although, the other versions of Microsoft Outlook too have almost similar steps:

1. Open MS Outlook on your system
2. Go to File tab
3. Click Add Account button
4. Select Manual setup or additional server types and click Next

You’ve successfully configured your POP3 account in MS Outlook 2013. If you face any message in the end saying ‘account cannot be setup’, contact your internet service provider to cross-check all details.

No upgraded version of POP has been released after the introduction of POP3 in 1988. But it’s still widely preferred.  There are various advantages and disadvantages of using POP3. Let’s have a look.

IMAP (Internet Message Access Protocol) was first developed in 1986 is an alternative to POP. It’s little more advanced than POP. You can synchronize multiple devices to access your emails which means, when you perform an action on one device, the same will be reflected on other devices as well. This facility is not available in POP.

MS Outlook stores emails in PST format that is Personal Storage Table. Any damage in the MS Outlook could lead to plethora of errors or data loss. Such as, due to Outlook installation error, application files deletion, or PST large size error, user loses all data unexpectedly. There are times when user fails to open his mailbox even after trying several times. When PST file is damaged, user may confront the following error:

Cannot start Microsoft Office Outlook. Cannot open the Outlook window.

The aforementioned error occurs every time you try to open the Outlook. Under such situations, either you must be ready with a backup that can be used or you need to solve entire issue manually.
 
Why does the problem occur?

The error occurs when the Outlook Navigation Pane that stores Outlook settings gets damaged. The file is known by the name “abc.xml”. Here, “abc” is the name of the Outlook profile. This file is stored in different storage locations depending on the Windows operating system. The size of the file becomes “0” when it is damaged. The aforesaid error could also appear due to PST file damage.

Solution:

One can perform manual PST repair. If the corruption is in Navigation Pane of Outlook, then follow the steps below to repair it:

  • Click the Start button and select Run.
  • Enter 'Outlook.exe /resetnavpane' command.
  • Click OK button.
  • Use Inbox Repair Tool (Scanpst.exe) utility to check integrity of PST file and repair corruption.

While running Inbox Repair tool, remember to close MS Outlook first. After starting the Inbox Repair tool, type the path and the file name of your personal folders (.pst) file or click Browse to locate the file by using the Windows file system, and then click Start. Although Inbox Repair Tool repairs the damaged PST file, it does not ensure complete recovery always. When the PST file items are permanently deleted, ScanPST.exe fails to retrieve it. However, once the contents are repaired, you must create a new PST and copy everything. Here is how to create a new PST file for saving the recovered items in Outlook 2007.

  • On the File menu, click Data File Management.
  • Click Add to open the New Outlook Data File dialog box.
  • In the Types of storage dialog box, click to select Office Outlook PST and click OK.
  • In the Create or Open Outlook Data File dialog box, select the location and a file name for your new Personal Folders (.pst) file, and then click OK.
  • Click OK.

Now, check for the new PST file in your profile.
